Printing & Publishing

The WLA office will coordinate all your printing needs. The office has established ongoing working relationships with several printers who have been very responsive to the quality, cost effectiveness and timeliness of our printing needs.  Please direct all printing inquiries to Brigitte Rupp Vacha. 

Printing and Mailing Guidelines

We're all looking for ways to reduce, reuse and recycle, and WLA is no exception.  We encourage members to use our online tools, powered by MemberClicks.  All newsletters will now be forwarded to respective members via the MemberClicks' Contact Center. 

If printed materials are required, please provide final camera-ready copy or electronic files to the WLA office at least two weeks before you need the material. If you also need it mailed, provide the copy at least three weeks before you need to have the material mailed. Please allow an additional week for post office delivery. Of course, we will make every attempt to process your printing and mailing requests more quickly than this, but if you are preparing a time sensitive piece, please plan carefully.

For smaller printing requests, the WLA Office copier may be used at a cost of $.04 per copy.  However, due to limited office resources and time, the office is not able to print or mail out unit or committee meeting agenda notices, follow-up meeting minutes or routine correspondence.

 

For new print projects or any print project requiring price quotes, please complete the printing requisition form (Word) and submit to Brigitte.

Standard Bulk Mailing Guidelines

Before designing any piece for mass mailing, please consult with Brigitte Rupp Vacha about current mailing requirements and costs. Some general guidelines:

  • Minimum pieces for non-profit mailings = 200
  • Basic postage cost for letter size is $ .12 per piece, $.17 per piece for newsletters. This may vary due to weight.
  • Minimum cost for standard services of stuffing, labeling and posting is $50.00 per mailing
  • All pieces must be identical.  (Contents the same).
  • Mailing must be in zip-code order. WLA office will do this for you.
  • Mail sent under the WLA non-profit mail indicia must be mailed from Madison.

The Post Office requests that self-mailers be printed so that if the mailing is folded, the fold is at the bottom of the page.

Items printed with the non-profit mail indicia require first class postage if mailed separately from the initial mass mailing.  Please cross off the indicia and do not attempt to mail items singly or in small amounts without affixing first-class postage.  The post office could take away our permit, if we abuse the privilege.

Again, please consult with Brigitte about any mailings or printing jobs before you commit your time and association resources to the project. We want to help you making your project as successful as possible.

Supplies

Vouchers are available upon request at no charge to all units; you can also print a copy of the voucher. Small amounts of stationery and envelopes are also available at no charge.  For larger amounts of stationery and envelopes (used for all bulk and significantly-sized first class mailings), the costs are as follows:
